We’re Matt and Jodie, The Sassenachs. This page explains what personal information we collect when you use our website and booking system, why we collect it, who we share it with and how long we keep it. If anything’s unclear, email us.
Who we are
The Sassenachs (Photography) Limited, trading as The Sassenachs. Registered in Scotland, company number SC884974. Registered office: 3 Victoria Terrace, Crieff, PH7 4AA. We’re the “data controller” for the information described here.

What we collect, and why
When you use the tools on our site
- The dates, locations and options you pick in the date checker and price builder. On their own these aren’t linked to you.
- If you hold a date or ask us to email you a quote: your name and email address, so we can confirm it and get in touch about it.
When you get in touch
Through our contact form, email, WhatsApp or a call booked through Calendly: your names, email, phone number, where you’re travelling from, your date, your plans and anything else you tell us.
When you book
- Everything above, plus your country, time zone, package and payment status.
- Your agreement with us, including the name and email you agreed with, your IP address and the time you agreed. We keep this as a record that you accepted the terms.
- Your questionnaire answers and, of course, the photographs we take.
Surprise proposals
If you book a surprise proposal, we may also hold your partner’s first name so we can find you on the day. Everything about the booking stays discreet: neutral email subjects and a neutral description on your bank statement. Once your partner has said yes, we treat them as a client too.
Card details
Payments go straight to Stripe. We never see or store your card number.
Newsletter
We only add you to our newsletter if you tick the box asking for it. Emails about your date hold, quote, enquiry or booking aren’t marketing. They’re about the thing you asked for.
Our legal reasons for using it
- To carry out our contract with you: answering your enquiry, taking your booking, delivering your photographs and taking payment.
- Because the law says so: keeping invoices and contracts for tax and accounting.
- Legitimate interests: following up an enquiry you started, keeping our systems secure, preventing spam and fraud, and sharing some of our work (see below). You can object at any time.
- Your consent: our newsletter, and analytics and advertising cookies. You can withdraw consent at any time.
Your photographs
We may share some of your photographs on our website, social media, in print and in competitions, unless you tell us not to. Your questionnaire asks whether you’re happy for us to share your photos, and you can choose “Ask us first” or “Keep them private”. You can change your mind at any time by emailing us, and we’ll take your images down from anything we control within 30 days. We never share images of a surprise proposal until both of you have said we can.
Who we share it with
We don’t sell your information. These companies help us run the business, and each only gets what it needs:
- Supabase: our database, hosted in Frankfurt (EU)
- Vercel: hosts our booking system
- Stripe: payments
- Resend: sends our booking and enquiry emails
- Google: email and calendar (Workspace), Analytics, Ads, reCAPTCHA (spam protection on our forms), Fonts and YouTube (our videos)
- MailerLite: our newsletter, if you’ve signed up
- Calendly: booking a call with us
- Cloudflare: invisible spam protection on our forms (Turnstile). See Cloudflare’s Turnstile Privacy Addendum
- WhatsApp (Meta): if you message us there
- Pic-Time: delivering your online gallery
- Our accountant and professional advisers, where needed
Some of these companies are based in the United States. Where your information leaves the UK, we rely on the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum, depending on what each provider offers.
Cookies
Cookies the site needs to work are always on. Analytics and advertising cookies are only set if you accept them in our cookie banner, and you can change your mind at any time using the “Cookie settings” link at the bottom of every page. Full details are in our Cookie Policy.

Your rights
You can ask us to show you what we hold about you, correct it, delete it, limit how we use it, give you a copy to take elsewhere, or stop using it for marketing. Email hello@thesassenachs.co.uk. We’ll reply within one month and won’t charge you. We may ask you to confirm it’s you first.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d rather you told us first so we can put it right.
Keeping it safe
Our systems are password protected and everything is encrypted in transit. Our booking database can only be reached by our own software, not directly from the website, and only the two of us can see client records. Payments are handled entirely by Stripe.
Children
Our services are for adults. We don’t knowingly collect information from anyone under 18.
Changes
If we change this policy in a way that matters, we’ll update the date at the top and, if you’re a client, let you know by email.
